Administrative Support For It Department

The purpose of this position is to provide highly skilled administrative support to the IT Department by performing a variety of complex administrative and general office management duties. This is accomplished by assisting the IT Department with overseeing and administering fiscal control policies and processes within the department and performing related work as required. FLSA exemption status: Non-Exempt

Examples of duties include:

  • Providing administrative support to the IT leadership;
  • Managing departmental expenditures and purchasing, ensuring budgetary compliance;
  • Managing and overseeing IT's interdepartmental expenses, verifying computer related purchases, and software maintenance agreements;
  • Providing the correct expense account when charging purchases interdepartmentally;
  • Managing the organization's copier program, including evaluating lease options, assessing departmental needs, coordinating with vendors for contract renewals and equipment maintenance/replacement, and processing invoices;
  • Overseeing the department's personnel activities by managing payroll changes, keeping accurate records, and supporting recruitment efforts;
  • Preparing and compiling reports as requested;
  • Assisting and supporting IT budgeting: compiling reports, tracking expenditures, and assisting with annual budget preparation and maintenance;
  • Managing departmental travel requests; and
  • Performing other assigned duties as required.

Minimum qualifications include:

  • An associate's degree or higher in public or business administration, office management, or a related field; and
  • Over three (3) years of experience in providing office and administrative support to management staff; with five (5) to ten (10) years of experience preferred.
  • Notary public certification preferred but not required.

Required knowledge, skills, and abilities include knowledge of standard administrative and clerical procedures, budgeting, financial, and purchasing procedures, contract review and renewals, copier lease agreements, vendor correspondence, oral and written communication, and the ability to provide varied, responsible, and often confidential secretarial and office administrative assistance to department.

Ability to operate assigned equipment, including computer equipment and various software packages including Outlook, Word, Excel, PowerPoint, Teams, SharePoint/OneDrive, and Power BI.

Ability to work in a fast-paced, high-volume environment, organize work, set priorities, meet critical deadlines, and follow-up on assignments with minimal direction. Ability to work cooperatively with city officials, other employees, and the general public. Ability to demonstrate utilizing tact when dealing with confidential and sensitive matters. Ability to work safely without presenting a direct threat to self or others.

Special requirements include a valid N.C. driver's license.
