Position Overview

The Project Administrator plays a critical role in supporting project managers and technical staff by ensuring project documentation is accurate, organized, and delivered on time. This position also contributes to the smooth day-to-day operations of the office and serves as a key liaison across internal teams and external partners.

Key Responsibilities

Project & Construction Administration Support

  • Coordinate and assemble project specifications and documentation packages
  • Track project timelines and proactively support deadlines
  • Prepare and manage industry-standard contracts and supporting documentation
  • Process submittals, including logging, assigning reviewers, and returning responses
  • Manage Requests for Information (RFIs), ensuring timely tracking and resolution
  • Maintain organized and accurate project records and files
  • Generate weekly status reports on outstanding project items
  • Track and update change-related documentation and logs

Administrative Support

  • Provide general administrative assistance to project teams
  • Support day-to-day office operations and special projects
  • Handle occasional office-related tasks such as shipping, deliveries, and supply coordination

Qualifications

  • 5+ years of experience in administrative, project coordination, or AEC (architecture, engineering, construction) support roles
  • Strong organizational skills with exceptional attention to detail
  • Proficiency in Microsoft Office and PDF editing tools (e.g., Adobe, Bluebeam)
  • Experience with project/accounting systems (e.g., Deltek Vision or Vantagepoint) is a plus
  • Ability to manage multiple priorities in a deadline-driven environment
  • Strong communication skills and a collaborative, team-oriented mindset
