Responsibilities
  • Manage daily administrative tasks including scheduling, correspondence, and document management to support the sales and operations teams.
  • Coordinate communication between clients, suppliers, and internal departments to facilitate order processing and fulfillment.
  • Assist with order entry, tracking, and status updates to ensure timely and accurate delivery of promotional products.
  • Maintain and organize physical and electronic files related to client information, artwork approvals, and supplier contracts.
  • Prepare and distribute reports, presentations, and promotional materials as required by management and sales teams.
  • Support artwork coordination by liaising with design and production teams to ensure client specifications are met.
  • Handle customer inquiries professionally and promptly, providing excellent customer service and resolving issues as needed.
  • Assist in inventory management and ordering office supplies to ensure smooth office operations.

Requirements

  • Proven experience as an administrative assistant or in a similar administrative role, preferably within marketing or promotional products industry.
  • Excellent organizational and multitasking abilities with strong attention to detail.
  • Outstanding communication skills, both verbal and written, to effectively interact with clients, suppliers, and internal teams.
  • Proficiency in using office software such as Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with CRM or order management systems.
  • Ability to manage and prioritize multiple tasks in a fast-paced, deadline-driven environment.
  • Strong problem-solving skills and a proactive approach to managing work and resolving issues.
