As a Candidate Onboarding Specialist, you will serve as the primary point of contact for new hires and candidates during the pre-hire and onboarding phases. You will collaborate closely with recruiters, hiring managers, and business units to ensure a structured and efficient onboarding process. This role also involves coordinating background checks, drug tests, and necessary documentation while maintaining accurate records and supporting global onboarding programs.

Requirements

Key Responsibilities:

  • Act as the main contact for new hires during onboarding, addressing questions and guiding them through processes.
  • Manage all candidates in the pre-hire stage and coordinate end-to-end onboarding activities, including pre-boarding, first-day logistics, and orientation programs.
  • Select and coordinate appropriate background check and drug test packages based on job codes and locations.
  • Review results of background checks and drug tests, providing clearance updates as required.
  • Schedule start dates and assign relevant onboarding events in learning management systems.
  • Update candidate profiles in HRIS systems, ensuring they are marked “Ready for Hire.”
  • Send day-one instructions to candidates, hiring managers, and recruiters regarding reporting, badging, I-9 completion, and orientation schedules.
  • Collaborate with Talent Acquisition Advisors, hiring managers, and business units to ensure a smooth onboarding process.
  • Maintain accurate onboarding records, checklists, trackers, and reports in HR systems.
  • Support regional or global onboarding programs and initiatives as needed.

What Makes You a Great Fit:

  • 3–6 years of experience in candidate onboarding, preferably with international onboarding exposure (US onboarding experience is a plus).
  • Hands-on experience with HRIS systems such as Workday, SAP SuccessFactors, or BambooHR.
  • Strong organizational skills and attention to detail to manage multiple onboarding tasks efficiently.
  • Excellent communication and interpersonal skills to engage effectively with new hires, recruiters, and hiring managers.
  • Ability to work collaboratively across teams and handle sensitive information with confidentiality.
  • Proactive problem-solving skills to anticipate and address onboarding challenges.
  • Capable of maintaining structured processes while adapting to different business unit needs and global onboarding requirements.
