Organizational Unit Overview
The Office of the Registrar is responsible for the integrity of student records for the university, the planning and execution of registration of students each semester, assignment of classroom space for classes and meetings, issuing grades, issuing transcripts, certification of degree requirements for students, mailing diplomas to graduates, and maintenance of a computerized student database.
Job Duties
The Veteran Affairs Coordinator has contact with current, previous & potential students seeking to utilize and maintain their benefits. Contact with incoming students to set up or apply for benefits and assist them with the entire process depending on their benefit type(s). Contact with parents and students concerning benefit information, being careful to follow all FERPA guidelines. Contact with various departments on campus including, but not limited to, student accounting, cashier, financial aid, and individual colleges. Public contact may take place on a walk-in basis, phone, email or printed mail correspondence from the above public contacts. Participation in military orientation sessions in the summer and open house sessions are also occasionally required.
Duties and Responsibilities: The Veterans Affairs Coordinator must complete annual VA training requirements in order to be approved as a certifying official for the school. Failure to meet and/or maintain training requirements will result in this position being unable to perform essential job duties.
This position manages and submits GI Bill enrollment certification for Chapters 35, 30 and 1606. The schedule should include the various times of the year in which students should be certified, records should be checked, and notices should be sent to students to meet VA requirements and University payment deadlines. All student grade point averages must be monitored to ensure their eligibility for the GI Bill program and students must be notified if they lose eligibility due to their academic standing.
The Veterans Affairs Coordinator must be available to meet with students who may be eligible for Veteran Affairs benefits either in person, virtually or via email / phone. The position must assist students with completing the necessary paperwork to file for benefits. This requires the individual in this position to have a thorough knowledge of the various GI Bill chapter categories the student may fall into based on their military service or their parent's military service and be aware of the appropriate documents and steps that need to be completed. This individual should also be knowledgeable about tuition assistance options for active-duty students.
This position is responsible for reviewing each student's schedule including main campus students, dental students & medical students to ensure that all courses are required for their individual degree program and submitting enrollment certifications which include the students credit hours and tuition and fee charges to the Department of Veteran Affairs electronically. If a student's schedule does not meet VA requirements, this individual must contact the student to make them aware of VA rules & regulations, how it impacts their payments from the VA and assist them with correcting their course schedule if desired.
The Veterans Affairs Coordinator should be knowledgeable of residency regulations and options for students using Chapter 35, 30 and 106 benefits and make students aware if warranted.
This position also manages and issues all student advance paychecks sent to the University from the VA.
The Veteran Affairs Coordinator is responsible for assisting with the annual VA federal and state audits when needed.
The Veteran Affairs Coordinator will assist with submitting all final grades to various military tuition assistance programs at the end of each semester
This position will assist with evaluating joint service transcripts within ACE accreditation guidelines.
This position is located in the Office of the Registrar and may also be asked to assist with various other duties within the office as needed such as assisting students with registration, transcript inquiries, enrollment verification, grade issues, graduation, etc.
The Veterans Affairs Coordinator represents East Carolina University at VA conferences across the state & the southern United States. Occasional overnight travel may be required.
Minimum Education/Experience
Bachelor's degree; or equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions.

Knowledge of veterans programs and ECU degree programs. Experience working with Banner, Degreeworks and VA Enrollment Manager.
