Job Duties
The Case Manager position manages the day-to-day operations related to case management, the direct referral program, and academic integrity violations. The Case Manager reports to the Associate Director and assists in the monitoring of conduct, direct referral, and academic integrity cases. This position supports the OSRR staff with case management, tracking, complaint intakes, hearing scheduling, and presentations. The objective of the Case Manager position is to facilitate the flow of information between various parties. In addition, the Case Manager position will assist and monitor student cases who have come to the attention of OSRR and other University employees. This position communicates with students, faculty, staff, parents, attorneys, and stakeholders.
OSRR Case Management (25%)
o Performs case intake of student conduct matters: directs students to appropriate campus and community resources, and advises faculty, staff, students, parents, and attorneys of the procedures for filing or responding to student conduct complaints o Manages, reviews, and distributes incident reports to appropriate office and conduct administrators for adjudication o Provides on-going case management and support for student conduct cases, monitors sanctions for completion and prepares overdue sanction notifications as needed, processes and removes registration holds according to policy o Provides regular contact for communication between parties that may include but is not limited to, ECU CARES, UBCT, the SMRT [Sexual Misconduct Response Team] committee, Organizational cases, the students of concern, and "need-to-know" individuals and departments, ensuring that all needed support resources of East Carolina University and the local community are made known to students of concern. Attend committee meetings and maintain timely and complete case documentation via electronic record-keeping system of committee meetings and activities.
Academic Integrity (25%)
o Performs case intake of academic integrity matters: directs students and faculty to appropriate campus and community resources, and advises faculty, staff, students, parents, and attorneys of the procedures for filing or responding to academic integrity complaints o Manages all reports of academic integrity violations: Creates academic integrity cases, prepares documentation and correspondence for all parties, ensures faculty follow procedures and submit appropriate information and documentation, processes academic penalties assigned by faculty with the Registrar, assigns campus intervention fees and other relevant sanctions, processes academic integrity appeals and assigns them to appropriate hearing officers o Provides on-going case management support for academic integrity cases, monitors sanctions for completion and prepares overdue sanction notifications as needed, processes and removes registration holds according to policy
Direct Referrals (25%)
o Manages the direct referral process: prepares documentation and correspondence for all parties, oversees the opt-out process and reassigns cases for adjudication as appropriate, schedules and assigns students to appropriate educational intervention seminars and workshops, assigns campus intervention and no-show fees and other relevant sanctions, collaborates with counseling and student health professionals as appropriate o Provides on-going case management support for direct referral cases, monitors sanctions for completion and prepares overdue sanction notifications as needed, processes and removes registration holds according to policy
Hearings (10%)
o Prepares files for hearings, including redacting information, compiling hearing packets, and facilitating file reviews by students, attorneys, and panel members. o Schedules all aspects of Academic Integrity Board (AIB) and Academic Integrity Appeal Board (AIAB) hearings, maintains University Committee on Academic Integrity (UCAI) rosters, assists with UCAI member trainings
Presentations (10%)
o Manages requests for presentations to the University community, assigns requests to staff as appropriate, facilitates presentations, and manages tabling events o Prepares and disseminates educational materials, including PowerPoint presentations, brochures, posters, handouts, and web-based materials that inform members of the campus community of students' rights and responsibilities, University policies, and conduct and academic integrity procedures
Other (5%)
o Assist with administrative tasks related to Student Organization investigations and other large-scale investigations and/or projects o Projects & Committee Involvement: Participates in special projects and serves on various University committees as assigned o Remains knowledgeable of current state and federal law and regulations and trends in the field of education o Serves as OSRR safety manager liaison responsible for the OSRR Emergency Action Plan as well as a 1 Card Security Approver o Performs other duties as assigned
