General Statement of Job
The Administrative Assistant II for BioNetwork's STEM Outreach Department will report to the BioNetwork Senior Director of Engagement/STEM Outreach and will work collaboratively to support BioNetwork Engagement Coordinators (aka STEM Outreach Coordinators) through maintenance of the BioNetwork Engagement/STEM Outreach Division calendar, supply purchasing and inventory management, as well as procurement and assessment of key metrics data. The BioNetwork Administrative Assistant will coordinate scheduling and provision of engagement activities in conjunction with Engagement Coordinators. This position is part of the North Carolina Community College System (NCCCS) BioNetwork Initiative and has local, regional, and statewide responsibilities
Essential Job Functions
- Manage online form submissions, emails, and phone applications for STEM Outreach programming events and coordinate communications between requestees and Engagement Coordinators.
- Utilizing Google Calendar, maintain BioNetwork engagement calendar and coordinate with the shared calendars of other Engagement staff.
- Manage and gather post-visit data and metrics to create semi-annual and annual metric reports for Engagement's Senior Director and BioNetwork's Executive Director.
- Coordinate with Pitt Community College divisions to ensure proper operations for BioNetwork (e.g. facilities, shipping and receiving, IT, etc.)
- Maintain monthly D-card expenses and submit monthly D-card expense reports.
- Handle invoices from outside vendors/contractors/part-time employees for services.
- Place orders for supplies and equipment for outreach activities and office.
- Work with other BioNetwork divisions to ensure the efficiency and promotion of Engagement programs and goals to complete BioNetwork mission (ex. Working with eLearning to ensure accuracy of engagement materials on websites.)
- Cultivate and foster productive working relationships with local and regional educational partner sites, including K-12 and community college schools, museums, other outreach organizations, life science industry groups, and economic and workforce development groups.
- Assist with the administration and logistical execution of workshops.
- Participate in professional development opportunities that are appropriate for the position.
Other duties may sometimes include: - Use multiple methods of electronic communication and social media (e.g. websites, publications, video conferencing, and other virtual methods) to collaborate internally and externally as appropriate and to enhance the broader public knowledge of BioNetwork.
- Assist in the preparations of event activity supplies/materials for Engagement Coordinators (e.g. preparing and aliquoting solutions or assembling individual kits for mailing.) Prior experience is not required as long as the applicant is willing to learn required skills and procedures.
- Test outreach activity protocols as needed.
- Assist with outreach visits as needed.
- Perform other duties as assigned by the Senior Director of Engagement.
BASIC REQUIREMENTS - Experience and/or understanding of the organization and functioning of North Carolina's K-12 systems, or the ability to quickly learn about them.
- Experience and/or understanding of North Carolina Community College System's educational institutions, or the ability to quickly learn about them.
- Demonstrated proficiency with common computer software (Adobe and Microsoft Office products- especially Word, Excel, and Power Point).
- Demonstrated proficiency with Google systems (in particularly email, calendar, Drive, Docs, Sheets, and Forms).
- Demonstrated proficiency with Dropbox.
- Demonstrated proficiency with virtual meeting platforms such as WebEx, Zoom, and Google Meet.
- Flexibility to sometimes work on weekends and evening Engagement events.
- A valid driver's license is required.
- Excellent written and oral communication skills.
- Strong analytical skills and working knowledge or aptitude to learn and apply new or existing technology tools.
- Demonstrated ability to effectively communicate with diverse community stakeholders including
K-12 and community college students, faculty, and staff, and life science industry representatives.

- Demonstrated proficiency in managing volunteers.
Qualifications or Standards Associates degree required; bachelor's degree preferred. Preference will be given to candidates with experience in life science industry, NC community colleges, and/or K-12 education.
Minimum Training and Experience Physical Requirements: Must be physically able to operate a variety of office and other equipment including computer, calculator, etc. Must be physically able to exert up to 30 pounds of force occasionally and/or a negligible amount of force frequently to lift, carry, push, pull, or otherwise move objects. Position involves occasional travel and mostly sedentary work, but may require walking or standing for brief periods of time.
